Lists
A list is a collection of tasks that are all the same kind. When you view a list, you see all current tasks of that kind.
Overview
Lists organize tasks by their kind. Each list represents a specific kind of work, and all tasks within that list are instances of that same kind.
For example, a list named “Diploma Name Change Request” contains all current tasks that are diploma name change requests. Each task in that list is an instance of that kind of work.
Lists vs. Dashboards and Todos
Lists show tasks grouped by their kind. This is different from views like the dashboard or todos page, which show all tasks currently requiring attention, regardless of their kind.
- Lists: Show all current tasks of a specific kind (e.g., all “Diploma Name Change Request” tasks)
- Dashboard/Todos: Show all tasks requiring attention across all kinds
When you need to work on a specific kind of task, you go to its list. When you need to see everything that needs your attention, you check your dashboard or todos.
How Lists Work
When you open a list, you see:
- All current tasks that are instances of that list’s kind
- Tasks in various states (new, in progress, completed, etc.)
- The same structure and fields for each task, since they’re all the same kind
This makes it easy to:
- Process similar work items efficiently
- See the volume of a particular kind of work
- Track progress on a specific kind of task
- Manage workflows that handle that kind of task
Lists in Spaces
Lists exist within spaces. A space can contain multiple lists, each representing a different kind of work that the team handles. This allows teams to organize their work by kind while keeping everything within their workspace.
Creating and Managing Lists
Lists are created within spaces by space admins or organization admins. Once created, a list defines:
- The kind of task it contains
- The structure and fields for tasks in that list
- Any workflows associated with that kind of task
As new tasks of that kind are created, they automatically appear in the corresponding list.
